Top 6 best water coolers for small offices 2026
The best water cooler for a small office without a water connection is the SPA® Fountain compact: a countertop unit that only needs a socket, with a published rent of €18.50 a month excluding VAT and three months' notice. It does give the most expensive litre on this list, because the 10-litre SPA Reine packs are bought separately. Culligan comes second with bottle coolers that, according to its rental page, you can stop at any time, but with no price on the site. PHIL gives the cheapest litre for an office with a tap nearby, on a contract of at least five years. For a team of eight, the volume is 126 litres a month: €174 to €194 with packs, €51 to €66 with a mains-fed PHIL unit, under €1.20 of tap water.

Which water cooler is best for a small office?
Without a water connection: the SPA® Fountain compact. It is the only unit without a mains connection that has a price on the site (€18.50 a month or €490 to buy, excluding VAT), with no minimum term and three months' notice. The countertop model is 64 cm high, 31 cm wide and 53 cm deep and needs a 220-volt socket, with a 1.5-metre cable. Delivery, installation, technical support and collection when you cancel are included.
What ends up in the glass: SPA Reine, natural mineral water, chilled to 9 degrees. Nothing else. According to the product page, the SPA® Fountain works only with 10-litre SPA Reine packs, so no sparkling water, no hot water and no 5-litre pack.
With a tap within reach, the choice shifts. A mains-fed unit spends next to nothing per litre on water, and Culligan, BRITA and Aqualex add sparkling or hot water. None of the three publishes a price, though, and PHIL, which does, ties you in for at least five years.
How much water does a small office use per month?
Less than the brochures suggest. We work with 0.75 litres per person per working day at the unit. The EFSA advice (2 litres a day for women, 2.5 litres for men) covers a whole day, at home and on the road included, not what you draw from a unit at the office. The 0.75 litres is our assumption.
With 21 working days: 5 people use 79 litres a month, 8 people 126 litres, 15 people 236 litres. In 10-litre packs that is 8, 13 and 24. Bobex works with a capacity of 0.5 to 1 litre per user per hour; every unit on this list clears that easily. According to its technical sheet, BRITA's Top Compact countertop model chills 22 litres an hour, enough for 5 to 25 users.
Check the first month. Anyone working from home on Tuesday and Friday does not drink from the office unit on those days.
What does a water cooler cost per month for five, eight or fifteen people?
Back to the litre, with the prices we read on 26 October 2026.
SPA® Fountain compact with 10-litre SPA Reine packs (rent €18.50, pack €11.95 from three or €13.49 each at Bruneau, all excluding VAT): 5 people €114 to €126 a month, 8 people €174 to €194, 15 people €305 to €342. Per litre €1.29 to €1.61. Bruneau does list that pack reference as out of stock; the pack in stock shows no price.
PHIL on the mains (rent €50 to €65 excluding VAT, maintenance and filter included, plus the mains water): 5 people €50 to €66 a month, 8 people €51 to €66, 15 people €51 to €67. The rent stays the same, so the bigger the team, the cheaper the litre: €0.83 for five people against €0.28 for fifteen.
A bottle cooler with large bottles, at Bobex's indicative prices (rent around €15 a month for about ten users, water €0.60 to €0.90 per litre, VAT not stated): 5 people €62 to €86, 8 people €91 to €128, 15 people €157 to €228. Those are averages from a quotation platform, not a Culligan price.
Tap water and carafes only: 126 litres cost €0.67 to €1.19 a month at De Watergroep, including 6 percent VAT and the sanitation charges, without the fixed charge. If you do not need chilled water, there is nothing to rent.
Which contract suits an SME?
A short one. In this ranking the contract weighs the most, together with set-up, because a small company moves, grows or shrinks faster than a head office.
In the small print, as stated on the pages:
- SPA® Fountain: no minimum term, cancel at any time with three months' notice, the first two months free. - Culligan bottle coolers: no obligation, stop at any time. For its mains-fed units Culligan speaks of flexible contracts, with no length given. - PHIL: rental and maintenance contracts of at least 60 months, then renewed yearly, and a deposit of three months' rent. Renting is for businesses only. - Aquablu: a contract of 24 to 60, with no unit on the page, most likely months. - BRITA and Aqualex: no term on the page, just a quotation.
At PHIL that means €3,000 to €3,900 of rent over five years, plus a €150 to €195 deposit. At SPA Fountain, stopping costs at most three months of rent, €55.50.
Do you need a water connection?
For four of the six units, yes. PHIL needs a free 3/4-inch outdoor tap and a 230-volt, 16-amp socket; under-counter cooling also needs 200 cm² of natural ventilation. Aqualex connects chilled and sparkling water to the mains. Aquablu connects the unit straight to the mains. BRITA's Top Compact is a mains-fed unit, as a countertop or freestanding model.
Without a connection, two kinds remain. A Culligan bottle cooler works with 11-litre or 19-litre bottles and a plug in the socket. A SPA® Fountain works with 10-litre packs. The difference is in lifting and stacking: a 19-litre bottle weighs almost twice as much as a pack, and 13 packs a month need a spot in a cupboard or storeroom.
Is a cooler with packs better than tap water?
No. It is more expensive and it is a different water. In Flanders, 99.56 percent of drinking water analyses met the standards in 2024, and a carafe of tap water costs eight people under €1.20 a month. You buy or rent a cooler for chilled water at your desk, for a fixed composition if you choose mineral water, or for sparkling water from the tap. Not because the water from the tap falls short.
Comparison table
Methodology : This ranking is built for an SME or an office of up to about twenty people. That is why contract and set-up each weigh 20 percent and the four other criteria 15 percent each: a small team rarely has a free water connection near the coffee corner and does not want a contract that outlasts the lease on the building. On 26 October 2026 we read the pages of SPA Fountain, Culligan, PHIL, BRITA, Aqualex and Aquablu, the pack prices at Bruneau, the Bobex price guide and the 2026 De Watergroep tariffs via CallMePower. We did not test any unit and did not request a quote. Each criterion gets a score out of ten. When something is not on the supplier's page, the criterion gets a fixed low score: 2 for a price on quotation, 4 for a cost per litre we cannot calculate and 4 for a contract that is not described. We estimate nothing in those cases. The total is the weighted average, rounded to one decimal (a five in the second decimal rounds up). SPA Fountain: 10, 3, 9, 10, 6, 7, total 7.7. Culligan: 2, 4, 9, 9, 8, 9, total 7.1. PHIL: 8, 7, 2, 5, 9, 9, total 6.4. Aqualex: 2, 4, 4, 6, 8, 9, total 5.5. BRITA: 2, 4, 4, 6, 7, 8, total 5.2. Aquablu: 2, 4, 3, 5, 7, 9, total 4.9. In our general ranking for offices, with six equally weighted criteria, the SPA® Fountain is fifth: there the choice of water counts, here set-up and notice do. The worked examples are our own calculation; rents exclude VAT, mains water includes 6 percent VAT.

Frequently asked questions
What is the cheapest water cooler for a small office?
No cooler: a carafe of tap water costs eight people under €1.20 a month. If you want chilled water on the mains, PHIL gives the cheapest litre with a published price (€50 to €65 a month excluding VAT), but with a contract of at least five years. Without a mains connection, a bottle cooler is cheaper per litre than packs, going by Bobex's indicative prices.
Can you rent a water cooler without a long contract?
Yes. The SPA® Fountain has no minimum term and three months' notice. Culligan's bottle coolers can be stopped at any time, according to its rental page. PHIL asks for at least 60 months, Aquablu 24 to 60.
How many 10-litre packs does a team of ten need per month?
At 0.75 litres per person per working day and 21 working days: 158 litres, so 16 packs. At one litre per person per day it becomes 21. Count how many actually go in your first month.
Does a small water cooler also give sparkling water?
Only on the mains, with a CO2 cylinder. PHIL gives the yield: about 350 litres of sparkling water per 2 kg cylinder. The SPA® Fountain and the bottle coolers give no sparkling water.
Is renting a water cooler tax-deductible?
Bobex writes that the rent or purchase and the cost of the bottles are tax-deductible. SPA Fountain, PHIL and Bruneau list their prices excluding VAT. Ask your accountant how that works out for your company.
